Self-serve plan workspaces allow for guest access but are limited to one primary user.

When new colleagues join your team or you expand Synthesia usage, you’ll need to decide whether to place them in the same workspace or create a separate workspace. This article explains the pros and cons of both options to help you make the right choice for collaboration, privacy, and admin efficiency.
Same Workspace: Best for Collaboration
If your teams need to work together or share content, keeping everyone in the same workspace is usually the best choice.
Benefits of using the same workspace:
Shared Brand Kit – Ensure consistent branding across all videos.
Shared Templates – Reuse templates created by teammates.
Shared Assets – Access media already uploaded by others.
Team Video Visibility – Browse, view, and comment on your team's videos.
Real-Time Collaboration – Co-edit videos, leave timestamped comments, and provide feedback in real-time, enhancing efficiency and communication.
Note: You can still keep work private by using the My Videos section. Videos here are visible only to you unless shared.
Separate Workspace: Best for Privacy
Separate workspaces do not share content or visibility with others. This is ideal for data separation.
Creating a separate workspace may be better when:
Teams create sensitive content
Business units operate independently
There’s no need to share templates or assets
Considerations for a separate workspace:
Each workspace needs its own Brand Kit and Templates.
You'll need at least two workspace admins to manage settings and users.
Setup is manual and may require coordination with existing teams.
Collaboration across workspaces is limited and less seamless compared to working within a single workspace.

Organization: Centralized Control
For large teams or multi-department setups, Organizations let you manage multiple workspaces centrally. Without an Organization, each workspace is fully independent. Admin access, content, and settings are managed separately. Admins in one workspace cannot access or manage another.
