How can I get insights on Workspace or Organization usage?

Learn how admins can get insights on workspace or organization usage in Synthesia by generating a CSV usage report.

To help with organization and workspace management, admins have the option to use Insights, where admins can generate a CSV report of workspace or organization usage.


To obtain an insights report:

  1. Navigate to the User settings in Synthesia.

  2. Select the Insights tab, located under either the Workspace or Organization settings (dependent on your Synthesia plan).

  3. Specify a date range and select the Get report to generate the report. Synthesia sends the report to the email linked to your account and via in-app notification.

💡 If you do not receive an email within 10 minutes, re-trigger the report by selecting the Get report button.


On completion, Synthesia sends a zip file containing:

  • For organization-level reports:
    Three CSV files — organization_usage, organization_workspaces_usage, and organization_members_activity.

  • For workspace-level reports:
    Two CSV files — workspace_usage and workspace_members_activity.

✍️ Videos and minutes metrics take into account each video version.

What do "videos created," "video versions generated," and "minutes generated" mean in the report?

A new version is counted each time someone selects Generate. "Videos created" is the number of distinct video projects. "Video versions generated" is the total number of times Generate was selected across those projects, which is higher when videos are regenerated after edits. "Minutes generated" is the cumulative runtime of every generated version, not only the final videos.

Which workspace is my usage counted in if people work across workspaces?

All usage is attributed to the workspace where the video is generated. If someone generates a video in another workspace, the videos, versions, and minutes are counted only in that workspace and are not double-counted.
