What steps are necessary to Off-Board a Workspace Member?

Learn how to off-board a workspace member in Synthesia, migrate their content, and remove them from the workspace safely.

When a team member are off-boarded from Synthesia, there are a few steps to take before removing them from the workspace. This article walks you through how to migrate their content and clean up their account.


Step 1: Migrate the departing member's content

Before removing the member, transfer their videos and assets from My Videos to the workspace. There are three approaches depending on your role and level of access.

With email access (preferred)

Have the departing member move their content to the workspace before they leave. This should be part of your standard off-boarding checklist to ensure a smooth content transition.

Using Content Search (Organization plan)

If you are on an Organization plan and you have an Org Admin role, you can use Content Search to locate the departing member's content and move it to a shared workspace β€” without needing access to their email account.

  1. Go to Organization settings.

  2. Select the Content Search tab.

  3. Search for the departing member's content by their user name.

  4. Select the three-dot menu next to the content you want to move.

  5. Select Collaborate to add yourself as a collaborator.

  6. Move the content into a shared workspace so other team members can access it.

πŸ“Œ Content Search is only available to Organization Admins on an Organization plan.

Without email access

If you cannot access the departing member's inbox and do not have access to Content Search, written authorization is required before Synthesia support can migrate their content on your behalf.

  1. Obtain written consent from the contract signee, a C-level executive, or the head of procurement.

  2. Prepare the following details:

    • The departing member's email address

    • The written authorization

    • The specific videos or assets that need to be migrated

    • The target workspace for the content

  3. Send the authorization and details to support@synthesia.io.


Step 2: Support team migration process

This step applies only when you have contacted support via the without email access path above. Once Synthesia support receives and verifies your authorization:

  1. The support team verifies the written authorization.

  2. They access the account to migrate the specified content.

  3. They move the content to the target workspace you identified.

  4. They confirm with you once the migration is complete.


Step 3: Remove the member from the workspace

After content migration is complete, remove the user from your workspace through the admin panel. To learn more, see the Workspace Member Management Documentation .


✍️ A few things to keep in mind:

  • Content migration only applies to videos and assets in My Videos. It does not include personal avatars.

  • The support migration process requires explicit written authorization to protect user privacy and content security.

  • After account termination, it may take up to 90 days for all data to be permanently deleted from the system.
