When a Workspace member's account is deleted or they are removed from your organization, what happens to their content depends on where it lives. This article explains the difference between content in My Videos and content in the shared workspace, and what Org Admins can do to protect it.


What happens to the user's videos and templates?

The outcome for a departing member's content depends on whether it is stored in My Videos or in the shared workspace.

  • Shared workspace videos and templates: Any videos or templates the user created directly in the shared workspace remain accessible to other workspace members after the account is deactivated. Share links and embeds for this content continue to work.

  • My Videos: Videos stored in the departing member's My Videos section are treated as private. Once the account is deactivated, share links and embeds for this content will stop working. After account termination, this content will be permanently deleted within 90 days.

✍️ To protect content in My Videos, it should be moved to the shared workspace as soon as possible after the member leaves. An Org Admin can use Content Search to do this, but only within the 90-day window before the content is permanently deleted. Once permanently deleted, content cannot be recovered.


How can Org Admins access a deleted user's content?

Org Admins can use Content Search to locate and manage content from any user β€” including accounts that have been deleted or removed.

With Content Search, Org Admins can:

  • Search across all users, videos, and templates β€” including private or personal projects.

  • Add themselves as collaborators on any content.

  • Move videos and templates into shared workspaces.

  • Edit and share content to keep team workflows running.

What is the data retention policy for Synthesia?

According to Synthesia's security policy, account data may take up to 90 days to be permanently deleted after account termination. What happens to personal avatars when an account is deleted?

Content migration only applies to videos and templates in My Videos. It does not include personal avatars.

Can I move a departing member's videos to the shared workspace?

If the departing member still has access to their account, they can move their videos to the shared workspace directly before leaving. If the account has already been deactivated, an Org Admin can use Content Search to locate videos in the member's My Videos section and move them into the shared workspace β€” but this must be done within the 90-day window before the content is permanently deleted. Will share links and embeds stop working when a member's account is deactivated?

It depends on where the video is stored. If the video is in the member's My Videos section and no one else has access, share links and embeds will stop working when the account is deactivated. If the video is in the shared workspace β€” or moved there by an Org Admin using Content Search β€” share links and embeds will be restored and the content will remain accessible.
